JOB DESCRIPTION

 

Taskovski Films BH is looking for an experienced office/project manager with knowledge and experience in business administration, accounting, and office management.

Location: BANJA LUKA (although this is a remote position candidate need to be located in Banja Luka, Bosnia and Herzegovina)

Term: Part-Time Employment, with 2 month probation period

Salary: To Be agreed, commensurate with experience

Hours: 20 hours per week. Occasional out-of-hours work on evenings and weekends may be required (it can turn into full time position in time )

Start Date: ASAP, no later than 1st September, 2024

YOUR ROLE

 

Your mission is to maintain the company’s day-to-day bookkeeping and HR administration (including payroll, holiday allocations etc), reporting to the CEO, Sales manager and Company Accountants. For clarity, this is not a production accountancy role on a specific production, but rather managing the finances for the company-wide transactions of a sales & servicing company.

Taskovski Films ltd uses the accounting software Xero (UK+US) and Gusto (for US payroll), and it would be ideal if you already have experience with these platforms.
Taskovski Films BH accounts are taken care of by Koleks doo BIH.
Taking the pulse of the financial information across the suite of companies, you will provide accurate, up-to-date reports and forecasts along with analysis to assist with strategic decision making. You will work closely with the CEO to ensure that the overall financial health of the company is on target.
We are seeking a data-driven and methodical team member, who will enjoy the opportunity to work with a social justice film company. We’re looking for someone who knows the film industry and has ideally had agency experience. You must be brilliant at keeping systems in order.

Responsibilities include but are not limited to:

Accountancy :
● Handling bookkeeping, budgeting, billing cycles, and processing invoices of the invoices IN and OUT in BIH accountancy and XERO (UK-based accounting system
preparation of materials for VAT and communication with the main accountant
● Creating financial reports for our clients, cashflow evidence, and staff fee calculations
● Evidence of monthly sales income

Legal :
● Managing contracts with clients deal memos, license agreements, and other company legal documents
● Evidence of legal documents & database updates
● Maintain the client’s database and collected materials for the films

Coordination :
● Supervising and designing office workflow, accessing staff, and providing feedback to improve internal performance
● Organizing meetings and managing databases
● Managing executive’s schedules, calendars, and appointments
● Taking care of company events:
● Supervising and monitoring the work of staff
● Implementing and maintaining procedures/office administrative systems
● Coordinating staff activities
● Attending and leading meetings and taking notes
● Assisting the CEO with other administrative work
● Performing data entry roles, including updating records and databases for personnel, financial and legal information
● Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations
● Creating travel itineraries for business executives, employees, and company events

Weekly:
● Raising Purchase Orders & entering bills to Xero
● Ensuring timely payment of all supplier bills
● Drafting Sales Invoices in Xero & sending them to clients in line with contract timelines
● Credit Control to ensure timely receipt of funds
● Bank Reconciliation (Credits & Debits) ensuring accurate project tracking codes are used
● Staff expenses & credit card review and reconciliation to project budget codes
● Managing the accounts@taskovskifilms.com email account for any inquiries regarding payments & sales

Monthly:
● Support CEO with the preparation of Monthly Management Reports (of which Xero has an automated function for some of the key aspects such as Accounts Payable / Accounts Receivable statements / P&L / Balance Sheet)
● Preparation of Cash Flow forecasts aligned to funding and business development goals
● Preparation of Project Budget & Variance Reports & Project Income
● Preparation of Film Sales Royalty Statements
● Management of certificate of residence with regard to withholding tax & liaising with film buyers on tax treaties
● Preparation of PAYE reports, pension filings & payments
● Coordination of staff holiday, toil allowances, and additional benefits
● Maintain an orderly accounting filing system
● Grant administration (both incoming and outgoing) and relevant reporting to stakeholders
● Grant application administration (including budget preparation and budget reporting)
● Travel planning and payments (for festival/market attendance)
● Review project budgets & reconcile to ensure campaigns are performing as expected.
● Support the CEO on any additional financial or clerical tasks as required that relate to company finances, audits or returns.
● Support the CEO on HR items such as new employee Payroll administration & holiday allowance administration.

Quarterly:
● Sending Producer Royalty Reports and issuing payments in a timely manner
● Answer any Producer queries on Royalty Reports
● Support Company Accountants in preparing for Annual Returns, VAT & Corporate Tax calculations. Answering any queries on transactions entered into Xero.
Software Requirements: We require good knowledge of the following software packages or their equivalents: Xero, Gusto CRM, (HR, reporting), Time tracking (Everhour), Google Suite, Zoom , Airtable,Proficient in using Google Drive, Excel, and specialized office management tools

 

MINIMUM EXPERIENCE & YOUR PROFILE

 

We’re looking for someone with a minimum of 3+ years of accounting experience, who has ideally had exposure to both media service agency and film sales and/or film distribution in their career.Excellent ( proficiency ) English written and spoken. Degree in Economics (preferable), Business Administration, Management, and Finances, Excellent problem-solving skills, the ability to research, and an aptitude for helping other people, Strong leadership, organizational, and time management skills.
Proficient in using Google Drive, Excel, and specialized office management tools
Ability to prioritize and complete multiple priorities in a fast-paced, dynamic environment
